SaaS for hospital nursing departments

Nursing quality,
from the bedside to the annual report.

Head nurses score checklists right on their phones. Results roll up into live dashboards and fill the hospital's own monthly, quarterly and annual Word reports automatically. No more scattered online forms, dozens of formula-laden spreadsheets or re-typing numbers by hand.

Already running in production at a provincial general hospital in Vietnam.

The problem

Nursing quality supervision still runs on spreadsheets.

One online form per clinical procedure, results flowing into dozens of formula-linked sheets, then copied by hand into Word at period end. Data loses its context the moment it is collected.

No traceability per nurse

The supervised nurse is a free-text field – the same person ends up spelled three different ways.

Fragile formulas

Around 60 COUNTIFS sheets by month × department × procedure: one inserted row silently skews the numbers.

Hand-made reports

An annual report takes two to three working days of copying numbers and computing percentages.

Access control by file sharing

Every department can see every other's data, with no trail of who changed which number.

One source of truth

Three connected modules reading the same evaluations.

No module keeps its own numbers and nothing lets you overwrite a computed figure. Fix the evaluation and every dashboard and report follows.

01

Supervise

Score checklists at the bedside on a phone; scan the QR code posted in the ward to open the right form.

02

Analyze

Trends, department rankings, department × procedure heatmaps and the most frequently missed steps.

03

Report

Auto-filled into the hospital's own Word templates, submitted and approved online, numbers frozen on submit.

Bedside supervision

Score a checklist in a few taps.

Built for one-handed use mid-shift: large score buttons, instant score and grade, and the supervised nurse picked from the staff registry instead of typed.

  • Scan the QR code posted in the ward to open the exact checklist, right inside the app.
  • 0 – 1 – 2 scoring plus “not applicable”: N/A steps drop out of the denominator automatically.
  • Handles branching steps (22.a / 22.b) correctly – their maximum is counted once.
  • Versioned checklists: editing a checklist never changes the meaning of past evaluations.
  • Installs to the home screen like an app; exports evaluations to Word in the official toolkit layout.
Live analytics

See which department, procedure and step needs retraining.

Every chart shares one period × department × block × checklist filter and is computed straight from evaluations, replacing every COUNTIFS sheet.

Reports in your template

Monthly, quarterly and annual reports that fill your own Word template.

Documents follow the existing template's exact layout, font sizes and wording. Departments only write the commentary – each comment box sits right next to the figures it discusses.

  • Staffing tables, nurse-to-bed ratios and indicator grade tables fill themselves in.
  • Native Word charts (not images): patient surveys and per-procedure monthly trends.
  • Submit – approve – return online; figures are frozen on submit and reprint identically years later.

Daily operations

Departments that haven't reported show up in red.

Three daily forms of the nursing department live in the same place, each with a list of missing departments.

Staffing report

Staffing report

Nurse headcount and patients by care level; one report per department per day, Excel export.

Ward-round minutes

Score up to 8 nurses on 19 items, server-stamped time, Word export matching the paper form.

Patient survey

Patient survey

Post-counseling questionnaire; satisfaction rates flow straight into the monthly report.

AI, with guardrails

Bring Word checklists into the system with a large language model.

Hospital checklists are hand-made Word files, each formatted differently. QLDD provides a canonical prompt so Claude (or another assistant) can turn a file into structured data – while the final decision always stays with a person.

1

The prompt lives on the server

The format the prompt describes and the format the server accepts can never drift; it demands verbatim wording.

2

Validated before saving

Step count, max scores, branches and sections are all checked; every error is reported at once, by step.

3

Human in the loop

Output only becomes a draft version; a manager reviews it before it is published for scoring.

Import-a-checklist-from-Word dialog

AI never touches the numbers: scores, grades and reports are always computed by deterministic algorithms.

In development: draft report commentary suggested from the period's figures, for head nurses to edit and approve.

Built to run for years

Everything the nursing department needs to self-manage.

Role- and department-scoped access

6 roles and 27 permissions editable in the UI; everyone sees only their assigned departments – enforced server-side.

Role- and department-scoped access

Full audit trail

Who, when, what – with before and after values.

Staff registry

Import from Excel, transfer, deactivate – never deleting anyone with past evaluations.

Bulk account provisioning

Usernames follow the hospital's convention; one-time temporary password sheet.

Print QR codes for every checklist

Post them in the wards – scan and score.

Vietnamese UI, light & dark

Comfortable on phones, tablets and desktops.

Security & data

Health-workforce data, protected like health data.

  • Passwords hashed with argon2id; never stored or exported in readable form.
  • Short-lived JWT sessions with rotating refresh tokens and theft detection.
  • Accounts lock for 15 minutes after 5 failed sign-ins.
  • HTTPS only; the database is never exposed to the Internet.
  • Automatic database backup before every upgrade; additive-only migrations.
  • No patient names or direct identifiers; only an optional record-number field for traceability.
SaaS deployment

Every hospital gets its own address on qldd.vn.

Each hospital signs in at its own hospital-name.qldd.vn – no installation, no servers to run.

    Map your forms

Collect current checklists, report templates and scoring rules.

    Go live

Hand out QR codes, provision accounts, onboard every head nurse.

Under the hood

Lean, fast, automatically tested.

A Go server compiled to a single binary, PostgreSQL with strict integrity constraints and a React UI. Every scoring rule, department-scope rule and Word document is covered by automated tests.
